Equipment Inspection: Part VI

Welcome back to part VI of the Equipment Inspection mini-blog! As always, you can read all our previous blog posts via the 5th Point Articles Tab.

We left off with a small showcase on the speed of RFiD scanning. This speed definitely came into play with the highly anticipated re-scan of all retrofit DMM RFiD tags.

All up, we were able to re-scan over 220 items in less than 2.5 hours with an RFiD Reader with the updated software.

This time included moving a lot of the equipment and PPE on and off a table for scanning. In the end we scanned the retrofit tags straight into an independent spreadsheet, and this spreadsheet was then sent to the Australian DMM reps to pull apart the 20 digit RFiD code, and align it with an exported list from our Papertrail log. This allowed for the miss-scanned (due to faulty RFiD reader) 10 digit codes to be matched against the completed RFiD code. Around 20 items were also scanned and corrected directly through the Papertrail program.

From the re-scan, we have sadly had 6 codes not be found. How and why this has occurred – we honestly are not too sure yet, and both DMM and Papertrail are looking in to how this may have occurred.

But 6 from over 220 items of retrofit RFiD …. isn’t that bad. It’s not great – we honestly would have rather avoided this whole re-scan shenanigans, but these things are ultimately expected with such innovative new technology. 5th Point have been the sacrificial lamb to introduce you to the products, the compatibility, and speed of data management.

All up – we are still very impressed with the technology behind DMM RFiD and the ease of Papertrail – particularly the logged traceability of who edits what information of an item.

It’s something we haven’t really gone into specifics of yet, but there’s a never-ending list of customisability, user tracking, item information and so much more!

Papertrail have developed an accurate safety management system, that isn’t just applicable to the Industrial Rope Access sector. So far the system has been successfully applied to the following industries:

  • Rope Access
  • Healthcare
  • Renewable Energy
  • Arboriculture
  • Adventure, Leisure and Recreational
  • SME

The system starts with the ability to create a hierarchy based off folder categories; very similar to how any desktop computer operating system folders work. You create, and name a folder – let’s use Helmets as an example.

Within the Helmet folder, you can then create subsequent sub-folders: in our case, we have two sub-folder categories: Staff Helmets and Training Helmets. In each of these two folders, the individual items are logged.

Here’s a peek at some of the Staff Helmets we have at 5th Point:


You’ll notice the hierarchy of folders that you’ve gone through displayed a the top of the page; you can click through all of these to go back into subsequent folders. It is possible to view when the next inspection is due on the right hand side, and who the last person was who edited that particular item of equipment or PPE.


And this is what it looks like when you click on an individual item:


You’ll notice that the entire data management history is recorded. That means that every individual User who edits any single field within an item, is recorded.

No more “whoops, who deleted that line?” stress of spreadsheets. You have instant access to the entire history of an item and WHO entered the information.

Each item can be given an individual “RECORD NAME”, along with customised inspection frequency and any relevant tags for that item.

Under “CURRENT STATE” the next check date, and notification date are listed (YES YOU GET NOTIFICATIONS WHEN AN INSPECTION IS DUE!!).

In this page you have the ability to “UPLOAD” additional information for the item as well; in this example, you can see on the left hand side that there is a photo of what the helmet looks like, as well as two PDF documents published by the manufacturer: The Equipment Inspection Procedure, and the individual technical information notice (or manufacturers technical notice). These are viewable once they are uploaded, allowing instant access to manufacturers specifications and additional user information.

No more “where did we put the paper copy of the tech notice” or “where did I put that file?”. You can instantly upload as little, or as much information as you would like to meet your compliance requirements.

Within the “OPTIONAL INFO” field, multiple details can be listed. You can actually enter more than what is shown here. The full list of information may include:

  • Identifier
  • Serial
  • Barcode
  • RFiD
  • Manufacturer
  • Model
  • Date of Manufacture
  • Date for Retirement
  • Date of First Use
  • MBS
  • SWL
  • Certifications

Under “ITEM PURCHASE DETAILS” you can record the Supplier, Purchase Date and Purchase Price. Below that; there is room for any additional comments regarding that particular item.

When you select an item, you can + INSPECTION  or you can + NOTE allowing you to record any applicable information, including if them items condition has changed at all (hello pre-use equipment inspections!!)

One of our favourite elements of this program is the fact that you can keep going back to items to add more information. New technical notice released? Go upload it! If you have a couple of hundred items of one product type – don’t stress – you can bulk upload files (one file at a time though, learned that the hard way). The visual recognition that you have from looking at an ACTUAL PICTURE of the product as opposed to the product name is epic.

Recognising individual brands and names or codes of items takes time. For most people, items are referred to in kind / style. I.e. Carabiner can be Oval, Wide D, Pear, and screw-gate or tri-lock. But looking at something and going “Yes, that’s a KONG XL D, 53kN 411.ZL 1 carabiner” ….. it’s not that common ….. unless you’re one of those types who enjoys it, or it’s your job to know the little details.

Essentially; we’ve found that Papertrail is designed to be user friendly. You don’t need any new software – it’s all managed on a ‘Cloud Based’ platform. It’s accessible through an Apple App, or through Google Play – plus via your preferred web browser. There are different account types, to allow for multiple users, each with specific access parameters all the way through to an advanced subscription (contact Papertrail for a demo).

Also – Papertrail help import your existing equipment log into Papertrail.
